Procurement Analyst

The Role

First Rail Holdings are currently recruiting a Procurement Analyst based in London within The Point (Paddington office) with some occasional travel across rail networks.

To deliver key accountabilities and responsibilities required of the role whilst providing support as required to the Procurement and Rail Division Executive.  Responsibility for management of procurement and finance databases, such as the contracts management system and spend and savings tracking tools. Responsibility for vendor onboarding and management, including quality assurance and safety assessment.

To provide support to the wider Procurement function, enabling the delivery of various Business Plan Commitments and key activities.  Supporting the Procurement Manager: Governance & Capability by using initiative to respond to adhoc queries and requests from the wider function, and in the implementation of new tools and processes.

Key Results Area

  • Clear and precise delivery of reporting
  • Affiliate/Intercompany agreement facilitation, tracking and management
  • Organised and clear vendor onboarding, management, and assurance
  • Proficiency in the procurement tools, spend analytics, eSourcing, SAP, supplier assurance, contract repository and pipeline management/tracking

 

Principal Accountabilities and Responsibilities

 Provision of user support and training for key Procurement systems, becoming a recognised superuser within the function (SME)

  • Proactively manage and facilitate affiliate agreements, liaising with Rail Division Finance and wider business stakeholders
  • Extraction of system data to generate cyclical and ad-hoc reports for key stakeholders
  • Support the implementation and use of procurement processes and tools to provide best value for money
  • Manage the administration of Purchase Order requests for Rail Division
  • Proactively track procurement contracts using the e-procurement systems (such as Wax Digital (Medius) and Per Angusta)
  • Provide key stakeholders with system updates/training where required
  • Create inputs to the Procurement Leadership Forum
  • Support Category Managers in sourcing and management of strategic contracts for FirstRail, maximising economies of scale
  • Support the promotion of procurement tool sets within FirstGroup
  • Provide occasional cover for Executive Assistant responsible for Rail Executives for instance, holidays

 

Skills, Experience and Personal Attributes

Essential

  • A high level of proficiency in Microsoft Office applications, particularly an advanced level of Excel for data manipulation
  • Ability to work independently and use initiative
  • Strong analytical skills
  • Ability to manage multiple projects/tasks at any one time
  • Experience of high-volume data management and reporting
  • Excellent written and verbal communication skills
  • Demonstration of accuracy and thoroughness; ability to look for ways to improve processes
  • Ability to build credibility with internal stakeholders
  • Well-developed influencing skills in managing effective working relationships with key stakeholders at all levels
  • Experience of procurement systems including e-sourcing/e-tendering
  • Self-developer

Desirable

  • Broad based professional procurement experience / commercial and financial awareness
  • Experience / working knowledge of project / change management
  • CIPS qualified / working knowledge or experience of end-to-end Procurement process
  • Experience of working in the rail sector
  • Working knowledge of wider procurement legislation and process
