Office Admin Assistant

Job Title: Office Admin Assistant

Reports to: Head of Contact Centre

Location: First Bus Shared Services, Princes Exchange, Leeds,

Contract: Perm

Hours: 37.5 Hours spread across Monday - Friday, 8am to 6pm

Salary: £21000

Basic Purpose of Role

We are looking to recruit an Office Admin Assistant based at our Leeds City Centre Office.

There will be some general office duties along with some general correspondence which will be varied.  

You will support the operational team completing their weekly trackers, refund spreadsheets to finance, managing the main operational email inbox and replenishing stationary,

Key Accountabilities

  • General office duties, ensuring all post is printed, franked, scanned and cleared daily
  • Manage the operational refund weekly tackers and provide customer details to our finance team
  • Attend Team leader meeting and capture minutes and actions
  • Support recruitment with note taking
  • Keep a stock inventory of IT equipment and replenish when necessary
  • Manage the main outlook inbox and delegating emails according

Skills, Experience and Qualifications required

  • Do you have a background in working in administrative support?
  • You have experience organization skills and can work on your own initiative, finding solutions to problems
  • You have excellent telephone manner and expectational written skills
  • You have experience at minute taking
  • You are through with great attention to detail
  • You are discreet when dealing with confidential issues
  • You can learn new technology and processes quickly
  • You have good IT skills and currently us the full suite of Microsoft packages
  • You can deal with conflicting demands and have strong persuasive skills
  • Ability to follow processes, adhere to policy & procedures, comply with GDPR, whilst also working on own initiative
  • Ability to work autonomously, delegate and prioritise
  • Ability to remain calm under pressure, always with a high attention to detail

Company Responsibilities

  • Adhere to all FirstGroup and First Bus policies and procedures
  • Undertake any training and development activities at the request of the line manager

Health, Safety and Environmental Responsibilities 

  • At all times, comply with your responsibilities within the Health and Safety Policy, ensuring compliance with relevant legislation
  • Report incidents, near misses and dangerous occurrences in a timely manner and ensure effective remedial action is taken
  • Promote and implement, where appropriate, safe working practices by means of campaigns, initiatives and promote a positive attitude to safety through personal leadership
  • Support the Company's environmental campaigns and be aware of FirstGroup annual environmental targets
